MINUTES OF THE MEETING OF THE HALLS COMMITTEE held on Tuesday 19th July 2016 in the Parish Room, Village Hall, South Darenth at 7.30 pm.

13 DECLARATIONS OF INTEREST
The Minutes of the last meeting were confirmed and signed as a true record.
15 MATTERS ARISING
CIL funds from SDC: confirmation awaited for suggested expenditure to external doors in Village Hall
Replacement front doors: investigation ongoing to source composite doors with panic bars.
Legionella risk assessment remedial works: 2 further quotes had been received from Defluo £3538 and Samcon Ltd £ 3149.97 which were more than the Surevent quote of £2600. Cllr Rushbrook suggested another local firm to contact.
16 MAINTENANCE MATTERS
A number of maintenance items had been completed or scheduled to be completed: Summer flowering hanging baskets had been installed, all shutters in both halls had been serviced, new curtains fitted in the Bar Room and blinds in the Parish Room, patch repairs to the stud wall in the kitchen.
Graffiti was found on the boundary fence with the Bowling Club; the CCTV footage was passed to the Police
During the shutter service the Chair store shutter in the Jubilee Hall was found to have a fault; RESOLVED that this should be repaired by CMR at cost of £220+VAT
Roof wire system Jubilee Hall is due for an annual test however due to the low roof and rotaspikes fitted it was not deemed necessary by the committee to have this in place. ACTION: Check with Safa Systems what is involved in having the system decommissioned. Check with SDC building control.
17 VILLAGE HALL FENCING
Riverside Nursery had reported an accident involving a child falling headfirst against the metal fencing and needing to visit A&E. Riverside have used foam padded shields along the length of fencing in the garden used by children however this did not prevent the injury from being avoided.
Members were concerned to hear of this and discussed the matter at length. Having raised the matter with the Council Insurers a site visit was booked and the outcome would be shared at the next Committee meeting.
18 REGULAR HIRERS
Brian Lelliott reported that the club will not be opening on Sunday evenings between April and September next year as they have found that Bowlers are making use of the outside Bowls Green during the summer months.
The Clerk reported The New Monday club organiser’s disappointment at being unsuccessful in the New Year’s Eve Ballot particularly as the funds were used to keep the club running during the year. The offer to apply for a Parish Council Grant has not been taken up.
19 HEALTH & SAFETY ANNUAL REVIEW
The Clerk explained the work planned to overhaul the Health & Safety checks and that this will provide an annual review for the committee’s consideration.
20 DATE OF NEXT COMMITTEE
The meeting date was changed from 20th Sept to 13th September.
